NAWIC Annual Conference — Event Policies
Age Restriction and Accompaniment Requirement: Individuals under the age of 18 must be accompanied by an adult who is at least 21 years of age.
If accompanied by a minor, the parent or legal guardian represents and warrants that they are the lawful parent or legal guardian of the minor and have full authority to agree to these Event Policies on behalf of the minor.
The parent or legal guardian, on behalf of themselves and the minor, agrees to be bound by these Event Policies and assumes full responsibility for the minor’s participation in the conference program.
The parent or legal guardian further agrees to supervise the minor and ensure the minor’s compliance with all applicable rules, policies, and codes of conduct.
Method of Payment: Payments must be made in U.S. dollars. NAWIC accepts Visa, MasterCard, Discover, and American Express.
Payment must be received prior to the program date. To arrange an alternate form of payment, contact

Consent for Use of Photographic Images: Registration, attendance, or participation in the NAWIC Annual Conference constitutes consent for NAWIC and show management to use and distribute (now and in the future) the registrant’s image or voice in photographs, videos, and other electronic reproductions of the event.
Assumption of Risk: To the fullest extent permitted by law, attendees and/or their parent or legal guardian acknowledge and understand that participation in the conference program may involve certain inherent risks.
Each attendee voluntarily assumes all such risks and agrees to release, waive, and hold harmless NAWIC and its officers, directors, employees, agents, and volunteers from any and all claims, liabilities, damages, or expenses arising out of or related to participation in the conference program.
Each attendee and/or their parent or legal guardian agrees to indemnify, defend, and hold harmless NAWIC and its affiliates from and against any claims, damages, losses, or expenses (including reasonable attorneys’ fees) arising out of or related to:
- Participation in the conference program
- Violation of these Event Policies
- Any misrepresentation made during registration
Photography and Recording Restrictions: Picture taking and recording of any kind are strictly prohibited on the exhibit/show floor.
This includes, but is not limited to, cell phones, cameras, tablets, laptops, and other photographic or recording devices.
Violations may result in removal or denial of entry to the exhibit/show floor.
Solicitation: The NAWIC Annual Conference brings together qualified exhibitors and attendees.
Unauthorized solicitation (suit-casing/outboarding) or direct marketing to exhibiting companies is strictly prohibited.
Selling activities and distribution of literature, samples, and marketing materials are permitted only from within the booth space of officially contracted exhibitors.
Visibility and Networking: By registering for this event, you acknowledge and agree that limited parts of your information (e.g., name, job title, and organization) may be visible to fellow event registrants on the event’s digital platform to facilitate networking and collaboration and may be provided to event sponsors.
Code of Conduct: All attendees, speakers, sponsors, and representatives are expected to behave professionally and respectfully.
Statements and positions should fairly represent the groups they speak for; participants should solicit and consider others’ views and treat privileged information accessed in a leadership capacity as confidential.
Harassment, discrimination, disruptive behavior, or breaches of confidentiality will not be tolerated.

Organizers reserve the right to remove individuals from the event without refund.
Program Changes and Liability: NAWIC reserves the right to amend the program as necessary.
In the event of cancellation, NAWIC is not responsible for incidental costs incurred by registrants.
We recommend purchasing refundable travel arrangements.
Accommodations for Disabled Persons: NAWIC is committed to providing reasonable accommodations for individuals with disabilities.
Contact nawic@nawic.org at least two weeks prior to the event to arrange accommodations.

Cancellations and Refunds: Full refunds will be issued for cancellation requests received three weeks (21 days) before the start of the event.
After this date, no refunds will be granted unless prior approval is obtained. Cancellation and refund requests for paid conference passes and workshop registrations must be submitted in writing to ATTN: Conference Cancellation at nawic@nawic.org. Exceptions may be made in the case of emergencies, at the discretion of the NAWIC Chief Executive Officer. Exhibits Only registrations are non-refundable.
